A relationship is an individual connected to your student record (for example: parent, guardian, spouse, or other contact).

Relationships:

  • May already exist in your account based on your application(s)
  • May be added or updated by you at any time
  • Are managed in the Relationships / Guest Access tab in DukeHub
  • Can be created by selecting the 'Add Relationship' button

If you have submitted multiple applications, relationship data may have been imported more than once. This can result in duplicate entries. Additionally, you may have created a student proxy relationship type. 

  • You are not required to consolidate duplicate entries. 
  • If you have an existing student proxy (guest) relationship that is authenticated:
    • We recommend that you update the student proxy relationship to the most current information through the Relationships tab and change the relationship type. After that, you can delete other duplicate relationships.
    • By keeping this relationship, your guest (formerly called student proxy) does not need to reauthenticate to retain their access.
    • On the Relationships or Guest Access tabs, relationships that you have granted guest access will have a green checkbox (completed) or pending (not completed yet) icon.
    • To edit the relationship, on the Rlationships tab use the pencil to edit the details.

  • If you do not have a student proxy (guest) relationship that is authenticated:
    • You can choose any of the relationships you wish to be the most updated relationship and delete the other relationships.
  • If you only want to remove guest access, you can do that by deleting the guest access on the Guest Access tab. You are not required to delete the relationship. Guest access can be removed by you from any relationship without deleting the relationship.

Updating an existing Guest is strongly recommended.

This avoids requiring the individual to:

  • Reauthenticate
  • Repeat the Guest setup process

If you delete a relationship:

  • If your relationship was a guest, email SISS-Operations and request their account to be restored. This will avoid them having to reauthenticate. 
  • You can recreate the relationship by using the 'Add Relationship' button on the Relationships tab. After creating the relationship, you can assign or reassign Guest access. The individual will need to complete the Guest authentication process again.

Some relationships are locked because they are tied to financial aid records and must remain unchanged for compliance purposes. This is when a relationship is a Federal Direct Plus Loan applicant or user.

Yes. Click the edit pencil next to the relationship. Within the relationship, at the bottom select the communications you wish your relationship to receive by checking the checkbox. Your relationship must have an email entry to receive email. If they are a guest user, you edit the email address on the Relationships tab. 

DukeHub allows you to send communications to any relationship, regardless of whether they are designated as a Guest.

You are not required to provide an email address for any relationship or opt your relationship in for any communication.

Sending an email (for example, Send Billing Notifications) does not grant access to DukeHub or to your records. Your relationship receives a copy of the email that is sent to you as a student. 

For example:

  • You may choose to email a parent about your tuition bill using the Send Billing Notification. 
  • However, they cannot view the bill in DukeHub unless they are designated as a Guest and granted Billing History.
  • Bill payments are made external to DukeHub. Relationships do not need guest access to your student record or to receive the billing notification to be able to pay the bill. To learn how to pay a bill go to the Bursar's website.
