Guest access is available in the student portal, DukeHub, and with this functionality students can grant parents (primarily for undergraduates), spouses (primarily for graduate and professional students), employers, or others access to view certain elements of their record.  It gives the students control over the student academic data they share. 

  • Students are able to select what access a particular guest user may have (e.g., the user can see the student's bill, but may not see their grades). 
  • Students can give different levels of access to different guest access users. 
  • They can access this functionality from their Dashboard/homepage by selecting the 'Relationships/Guest Access' menu item in the left menu bar.

Items to note:

  • The guest access user will have view-only access to most items. 
  • The provision of access by the student to the guest access user does not replace or change university policy about administrators having discussions with parents or other relations about the student. Current confidentiality and FERPA procedures should still be followed.
  • Only the student can add, delete, or change the access given to a particular guest access user. If a guest access user calls and requests access from an administrative unit, the response will be for the guest access user to ask the student.
  • The students will be informed of their FERPA rights and the implications of giving certain kinds of access. Some managers have expressed concern that students may feel compelled to share information with parents, guardians, or spouses. We would like advisors and administrators to counsel students to be judicious in granting access and to communicate that this service is entirely optional.

  1. Before you begin: Make certain you have created your Duke OneLink account prior to attempting to access the Student Record. Please see the instructions further down on this page on how to create a new OneLink account
  2. To begin navigating your student’s record, please go to DukeHub (https://dukehub.duke.edu/) and click on the Guest Login tile.

  1. Select Log in with OneLink.

  1. Enter your UserID and Password you selected in the OneLink creation process. You can also choose to use a social login.

  1. Select the student whose record you wish to view (should you have guest access for more than one student) and click on the appropriate “View As Student” button. To view the access you have been granted, you can select the down arrow.

  1. You will now see the student Dashboard. The menu items visible in the left-hand menu bar will be dependent upon the view permissions granted by your student.

  1. To stop viewing this student record, click EXIT in the top right of your screen. This will return you to the student selection screen. To log out of the system completely, please click on the arrow at the bottom left of the page and select Logout.

  1. Check the email account to which your student sent your Guest Access invitation and open the email. Please do not use the same internet browser as your student if you are sharing a computer. Select the “Create a Duke OneLink account” link in the email.

  1. Log into your email account again and access the “Register for Duke OneLink” email sent to you by the system. Click on the link in the email to register the account.

  1. Create a new username (OneLink ID). Select the Register with OneLink ID button.

  1. Finalize registering for Duke OneLink by selecting the 'Yes, this is me' button to complete the Duke OneLink registration.

  1. If the system does not automatically route you to DukeHub, navigate to DukeHub (https://dukehub.duke.edu/) and Select Guest Login.

  1. Should you receive an authorization error at this point, please wait a couple of hours and retry. This will allow the system time to process your submission and your permission to be granted. 
  1. Check the email account to which your student sent your Guest access invitation and open the email. Please do not use the same internet browser as your student if you are sharing a computer. Select "Connect this existing account to your student and register as a Duke Student Guest Access User."

  1. You will now see a list of your current relationships (if any). You must have a relationship listed with an email address before you can grant them guest access. You can also edit/delete existing relationships on this tab. To add a relationship, click the 'Add Relationship' button.

  1. This will open a new screen where you input the details for your relationship. If you wish to grant this relationship Guest access, you must include an email address. When you are finished, select the 'Submit New Relationship' button.

  1. Next, navigate to the Guest Access tab. Select 'Grant Guest Access' for your desired relationship.

  1. Add access by checking the desired boxes under each category. You can use the icons to select or deselect all in a category. When completed, click the 'Submit Guest User Access' button in the top right corner.

  1. Read the 'Duke University Release of Information Policy' and check the box at the bottom of the page to acknowledge the policy.  Then select the 'Continue' button.

  1. You will receive a 'Guest Access saved' confirmation on your screen. You will see a pending icon until your Guest user completes their guest access setup. When the guest access is connected, there will be a green checkmark icon. If you wish to edit or delete the access, select the pencil or trash can icons on the row for your relationship.
